Practice Observations
Expert observation to enhance veterinary team communication, patient safety and collaboration.

Overview:
Our Practice Observation Days allow veterinary teams and leaders to gain expert insights into the reality of daily work in their practice.
Practice Observations help you to develop and maintain a safer, more efficient, and more cohesive working environment, improving team performance and standard of patient care.
A VetLed Human Factors expert will spend the day discreetly observing key areas such as communication, teamwork, decision-making, patient safety processes, and workload management.
Our approach is non-clinical and non-judgmental, focusing on systems improvement rather than individual performance. Team members are briefed beforehand, and we ensure a supportive environment for learning and reflection. Where appropriate, we will facilitate real-time debriefs with leaders to explore key findings.
Following the visit, you’ll receive a detailed report highlighting strengths, areas for improvement, and practical recommendations to enhance efficiency, collaboration, and patient care. This includes praise points to celebrate team excellence in specific areas.
Which members of practice teams are involved?
We want to observe a “normal” day in your practice. We encourage you to book a day when the majority of your team are in work, but there is no need to change anything to facilitate our presence. Where we spend our time and the specific areas of focus are agreed with practice leaders prior to each visit.
Service classification:
Practices & teams, corporate organisations
Length and structure:
- 1 day initial observation
- Detailed written report provided within approximately two weeks of our visit
- Follow-up call to discuss action points and next steps

“The practical day was so helpful. Cat and Sara created an extremely safe environment and were so kind, patient and understanding. Everyone in my group commented on how they felt they could be completely open and share mistakes, silly questions etc.”

“We worked with VetLed for an intensive, and brilliant, year. They created a bespoke programme for our practice after chatting through where we were and where we wanted to be. To say it was helpful is a massive understatement! They know what they are talking about and the observation days they conducted gave us massive insight into areas we had not seen we could improve on. I can't recommend their help and support enough!”

“I just wanted to drop you both a note to say, thank you for the sessions you ran for us this and last week. The feedback from our teams has been overwhelmingly positive. The sessions were well delivered, engaging and very useful! It has definitely triggered a couple of other projects we would like to implement later in the year.”

“The team have become much more aware of how incivility can affect us and our performance and in general the team are more inclined to discuss this amongst themselves and some team members have grown in confidence to approach peers and deliver feedback when they have perceived someone to be uncivil.”

FAQs
We encourage you to explain that VetLed are visiting as impartial observers, with the purpose of supportive improvement. The report provides recommendations for systemic improvements - the only individual comments that are made will be praise points. There can be opportunity to discuss individual considerations, however this would be with the person/people involved on the day in the form of a constructive, facilitated debrief, if mutually agreed.
Observation days can be combined with a workshop. Some practices choose to add a lunch-and-learn on the same day. The topic can be selected from our short introductory courses. Many practices choose to add a half/full day workshop to their VetLed visit the day after their observation. When enquiring about this service, please let us know if you would be interested in adding a workshop.
We offer a follow-up call to discuss the contents of your report. Here you can ask any questions regarding any of the recommendations and explore possible next steps. An observation day provides valuable insight into next steps on your Human Factors journey. This might be further observations, workshops, bespoke consultations, leadership programme, safety culture surveys, coaching or a combination of services in the form of an extended support programme.
